Clients Who Pay Outside the App (Bank Transfer, Cash)

Bill some clients through the app and others outside it. If a client pays you directly (bank transfer, cash, or an arrangement you handle yourself), you can mark them as billed outside the app. They can still book sessions, and BuildStability won't create any invoices, charges, or GST records for them.

Where to set it:

Open the Clients list, click the arrow to expand a client's row, and find the Services & Billing card. Switch the toggle to Outside the app, then pick how they pay (Bank transfer, Cash, Other, or leave it as Not tracked). It saves on the spot. You can also set this when you first add a client, under "How will this client pay?".

What changes when a client is billed outside the app:

• They can book sessions without an in-app plan. A business that requires an active plan to book would normally block a client with no membership or pack. Clients billed outside the app skip that requirement. • No money is handled in the app for them. No Stripe charges, no invoices, no GST records. Their payments stay between you and them. This is the setup most Australian trainers want for cash clients. • They won't show as "needs billing" in your Clients list. The list shows a quiet "Outside app" marker instead of an amber warning.

If the client was already on Stripe:

Switching them to Outside the app does not cancel their Stripe subscription on its own. If you also want to stop charging them, the Services & Billing card shows a Stop payments button next to the subscription. It asks you to type "stop payments" to confirm, then stops the subscription from renewing. The client keeps access until the end of the period they've already paid for, with no further charges.

To switch a client back to in-app billing:

Flip the same toggle back to Through the app, then assign them a service or membership as normal.

When NOT to use this:

If you want BuildStability to collect payment, track session credits, send GST tax invoices, or run recurring memberships for a client, leave them on Through the app and use Stripe. Outside-the-app billing is purely for clients you invoice and collect from yourself.
