How BuildStability Handles Waivers
What We Store When a Client Signs
When a client accepts your waiver (during sign-up, invitation, or when you update your waiver and they re-accept), we store:
• Waiver text – The exact wording they agreed to, including version • Signer name – The name they provide when signing • Date and time – When they accepted • IP address – Where the request came from (or "N/A" for manual trainer recording) • User-Agent – Device/browser used (or "trainer_manual_update" for in-person signings you record)
Waivers are also copied into Documents & Notes for each client so you can view them alongside other documents. Both you and your clients can open them from the Documents & Notes section (trainers: from the client’s expanded row; clients: from the Documents item in the account menu).
Immutability of Signed Waivers
To support record integrity and common e‑signature and record‑keeping practice (including in the UK, US, and Australia), we do not allow:
• Editing the title, content, signer, or date of a signed waiver. If you need to correct or add information, add a separate note (e.g. an addendum) that references the original waiver. • Hard deletion of waiver records. Waivers can only be archived (hidden from the main list); they are not permanently deleted.
You can still pin or archive waivers in Documents & Notes for your own organization.
Where to View Waivers
• Clients list – Expand a client and open Documents & Notes, then filter or look for the Waiver type. • Client’s Documents – Clients can open Documents from their account menu to see their own waivers and other documents. • Waiver compliance – Use the Waiver/Compliance area in your business settings to see who has or has not accepted the current waiver version.
