Your Central Hub for Schedule Management:
The Smart Scheduling tab (labelled Smart on mobile) on your Calendar page is your one-stop destination for: • Bulk Rescheduling - Move multiple appointments at once when a trainer is away, client is traveling, or business is closed • Bulk Cancellations - Cancel multiple sessions with scenario-based automation • Client Notifications - Send bulk email or SMS to affected clients with pre-filled templates • AI-Powered Insights - Get recommendations to optimize schedules and capacity
Note: All multi-appointment operations are handled through Smart Scheduling. For single appointment changes, use the appointment detail modal directly from the calendar.
AI-Powered Schedule Analytics:
The Smart Scheduling tab provides powerful insights into your trainers' schedules and capacity utilization.
What It Shows:
Capacity Utilization Card:
• Utilization Percentage - Shows how efficiently each trainer is using their available time • Booked vs Available Hours - Displays breakdown like "3h / 48h" (booked hours / available hours) • Color-Coded Status: - 🟢 Green (< 70%) - Room for growth, trainer can take on more clients - 🟠 Orange (70-85%) - Healthy utilization, good balance - 🔴 Red (> 85%) - At or near capacity, may need to expand availability or add trainers
Key Metrics:
• Total Appointments - All scheduled sessions (individual + group classes) • Upcoming Appointments - Sessions in the next 14 days • Peak Days - Days with the most bookings • AI Insights - Personalized recommendations for optimizing schedules
How Capacity Utilization Works:
Calculation Method:
• Analyzes the next 14 days of availability • Counts booked hours from both individual appointments and group classes • For group classes: Each unique time slot counts once (not per client) - Example: A 1-hour yoga class with 8 clients = 1 hour booked, not 8 hours • For individual sessions: Each appointment counts separately • Compares booked hours to available hours based on trainer's availability rules
Understanding Your Numbers:
Example Scenario:
Trainer has: • Monday 9am-5pm (8 hours) • Tuesday 9am-5pm (8 hours) • Thursday 9am-5pm (8 hours)
Over 14 days: • Each day appears 2 times = 48 total available hours • If trainer has 3 hours booked = 6% utilization • If trainer has 24 hours booked = 50% utilization • If trainer has 40 hours booked = 83% utilization
Using the Insights:
Low Utilization (< 50%):
• Trainer has significant capacity for growth • Consider marketing or outreach to fill schedule • May want to expand availability hours • Good opportunity to add new clients
Healthy Utilization (50-85%):
• Good balance between booked and available time • Trainer can handle current load comfortably • Room for some growth without overcommitting • Maintains work-life balance
High Utilization (> 85%):
• Trainer is at or near capacity • May need to expand availability if demand is high • Consider adding another trainer to the team • Watch for burnout risk
Schedule Recommendations:
The system provides personalized suggestions based on your schedule data: • Utilization-based insights (e.g., "Low capacity utilization (30%). Consider promoting your services") • Peak booking days identification (e.g., "Peak booking days: Monday, Wednesday - optimize schedule around these days") • Available hours alerts (e.g., "You have 15 hours available in the next 14 days") • Capacity warnings (e.g., "Very high utilization (90%). You may be at capacity")
