What actually matters when you are choosing software



Before you look at features or pricing, ask yourself these questions. They will save you from signing up for something that looks good on a landing page but does not fit how you actually work:
  • What is the real monthly cost? Add-ons, payment processing fees, and per-client charges add up fast. The base price is almost never the full picture.
  • Does the platform take a cut of your client payments? Some charge commissions on top of your monthly fee. You are already paying Stripe fees. Paying the platform too is a double hit.
  • Can you actually replace your current stack? If the software handles scheduling but not billing, you still need PayPal. If it handles billing but not programming, you still need Excel. One tool that does everything beats three tools that each do one thing.
  • Does it have AI that actually helps? Several platforms now offer AI program generation, but there are two categories. Generic AI (like copying client data into ChatGPT) loses context every time.     G2 reviewers consistently praise the scheduling interface and customer support. Several describe it as intuitive for day-to-day booking and check-ins. The platform integrates well with other software, and the brand recognition means clients already know how to use the consumer app. Where frustration shows up is complexity: multiple reviewers note that updates sometimes move features around, basic tasks can require too many steps, and the system is designed primarily for class-based businesses rather than 1-on-1 personal training.

    Where it works well: Solo trainers and small studios in Australia and New Zealand who want scheduling and billing without complexity. Native AUD pricing means no currency conversion surprises.     My PT Hub markets itself as an all-in-one platform. Programming, scheduling, billing, and nutrition tracking in one place. The feature list looks good on paper. The pricing model is where it gets interesting.

    The Starter plan is ~$57 AUD/month for up to 3 clients. Three. Most solo PTs have more than 3 active clients within their first month, which means you are really looking at the Premium plan at ~$149/month for unlimited clients. A white-label app adds another ~$320 AUD/month on top of that (Premium required). AI-powered client check-ins (their newest feature) are another ~$43/month on top.

    At ~$149/month you are above Mindbody's starting price without the marketplace exposure. That is a lot of money for a solo trainer just getting started.

    Where it works well: Trainers who want nutrition tracking included (unlike Trainerize where it costs ~$64/month extra). The exercise library is solid. The iOS and Android apps work well.

    Where it does not: ~$57/month for 3 clients is tough to justify when competitors offer 5 to 25 clients at similar prices. No engagement scoring. No churn prediction. The AI check-in feature is an add-on, not included. Several G2 reviews mention the interface feeling cluttered.

    Vagaro



    Vagaro started in the salon and spa space and expanded into fitness.
